Coordinate the approval calendar

Aurora publishes separate advance milestones for York Region road closures, Town closures, site plans, facility permits and insurance. For an event planner, that is a reason to replace a single “permits due” line with a dependency schedule. Begin with the intended guest arrival period, then identify which public-road, venue and insurance decisions must already be settled for the invitation copy to be accurate. Assign each submission and confirmation to a named owner. If a regional closure remains unresolved after a facility item is complete, the arrival plan should still be marked provisional. This approach protects executive guests from receiving polished directions based on only one completed approval stream.

Design the threshold around the entrance actually in use

A Town notice once directed Town Hall visitors to the rear or north entrance because the south parking lot and south entrance were inaccessible. That specific example is useful as a property-planning test, not as a claim about current conditions. Ask what happens if the most intuitive door or adjacent parking area cannot be used on the event date. The site brief should name the operative entrance, the walking line from vehicle release to reception, and the person responsible for exterior wayfinding. Accessibility, weather cover and late-arrival instructions belong in the same review. A venue address alone does not tell a guest which edge of the property is functioning as the front door.

Keep regional and Town road decisions on separate tracks

The Town’s distinct deadlines for York Region and Aurora closure requests signal an important jurisdictional question. Before a dispatcher or planner labels a route “approved,” the affected road should be matched to the authority that controls it. Build a small road ledger listing the proposed approach, any closure dependency, the responsible applicant and the latest confirmation date. Supplier vans, guest vehicles and coaches may also require different instructions even when they converge on one venue. Separating those movements early makes revisions contained: a change to a regional-road assumption need not scramble every property instruction. It also gives the event lead a precise issue to escalate instead of a vague traffic concern.

Revalidate access, not merely the street address

The south-lot closure example demonstrates how a familiar civic destination can temporarily operate through another entrance. Use that lesson in the final event-week check. Confirm whether the planned parking area, pedestrian path and reception door remain usable, then compare the answer with every guest email, driver brief and vendor call sheet. If access has shifted, revise the landmark language and arrival diagram rather than adding a last-minute footnote. Put a timestamp beside the property check and nominate one channel for day-of changes. The objective is operational consistency: everyone should be navigating to the entrance available for the occasion, not the entrance remembered from an earlier visit.
